DATA AND ENROLLMENT MANAGER (PASADENA)

The Institute for Educational Advancement (IEA) is a national non-profit organization dedicated to supporting our nation’s most advanced learners in identifying and developing their full intellectual and personal potential.

IEA is seeking a data and enrollment manager to work with the executive team and program staff to support the implementation of quality supplemental programs for gifted elementary, middle and high school students.

The ideal candidate is confident, detail-oriented, has excellent communication skills, capable of problem solving in a work environment, and is able to focus on the big picture.  He or she is a self-motivated individual who enjoys being part of a team, is interested in working with gifted students and their families and is committed to the long-term success of IEA’s program goals and constituents.

Job responsibilities include:

  • Belief in and work towards actualizing the mission of IEA
  • Support team efforts in fundraising, outreach, marketing and programming as needed
  • Ensure current and accurate constituent enrollment and donor records for programs and development purposes
  • Maintain good data hygiene (capture data changes, consistent data entry formatting, de-duplicate records, audit records and review best data practices)
  • Onboard and train incoming staff members on use of CRM and data collection practices
  • Facilitate smooth application and enrollment processes by updating application forms through multiple platforms and then working with constituents to complete and submit application materials
  • Ensure file integrity for selection committee review of completed applications and attachments in FormAssembly and Salesforce
  • Work closely with other IEA staff to track, measure, and report IEA’s enrollment numbers and demographics, utilizing various technologies and platforms
  • Support the recruitment of qualified students from diverse backgrounds and coordinate with program teams to reach target enrollment numbers
  • Create report templates in Salesforce and provide concise and accurate enrollment or donation reports in a timely fashion
  • Work with accounting and program teams to capture and record application fees and tuition payments
  • Other duties as assigned.

Minimum Qualifications:

  • Bachelor’s Degree
  • Minimum of 3 years of office support experience, including light bookkeeping
  • Must be tech-savvy and proficient in Windows 10 OS, Microsoft Office Suite (including Excel, Outlook, Word, and PowerPoint), and Adobe Acrobat
  • Excellent interpersonal, written and oral communication skills
  • Must have exceptional organizational skills, keen attention to detail, and ability to multi-task
  • Strong project management skills
  • Must be able to maintain confidentiality pertaining to constituents and projects
  • Ability to work independently with minimal supervision
  • Understanding of nonprofit organizations preferred

The successful applicant will possess the following characteristics, skills, and abilities:

  • A passion for and interest in gifted education
  • Bachelor’s degree required
  • Three years of experience working with Salesforce or other CRM software; familiarity with FormAssembly and third-party payment processors a plus
  • Advanced skills in MS Office/O365, with a strong proficiency in Excel, and development software.
  • Experience working in a nonprofit organization
  • Understanding of fundraising records and/or student data management
  • Ability to work with and protect confidential information 
  • Excellent written and oral communication skills
  • Ability to work independently and take initiative on new projects
  • Creative problem-solver with the ability to adapt and be flexible under changing circumstances
  • High degree of organization and attention to detail 


Working Conditions/Physical Demands:

Routine for office environment.
